Administrative Assistant:

The Parkside Community Association (PCA), Buffalo, New York


The PCA, a 501(c)(3) not-for-profit and the largest membership-based community association in the City of Buffalo, is seeking a part-time Administrative Assistant (Admin). The best candidate is someone who is both committed to the mission of the PCA and enjoys dealing with the public and administration.

The Admin is the first point of contact for members and the general public and is responsible for performing administrative and office support activities for the PCA and the Board of Directors (BOD). The Admin also handles the day-to-day communications for the organization. This includes answering calls and emails; taking messages; and preparing or writing letters. The Admin will maintain membership records, handle requests for information and data and update and maintain the office website and social media accounts to ensure they are current and user-friendly.


Responsibilities include (but are not limited to):

  • ●  Write grant submissions on behalf of the organization

  • ●  Field phone calls, emails, and neighborhood correspondence

  • ●  Welcome and assist visitors in a professional manner during office hours

  • ●  Maintain office supply inventory

  • ●  Ensure that the office and storage areas are orderly and clean

  • ●  Ensure that both physical and electronic documents are kept and maintained appropriately

  • ●  Communicate any problems with the office computer, software and equipment

  • ●  Perform all other routine office tasks

  • ●  Track membership status and prepare welcome packets for distribution

  • ●  Manage website with assistance from the BOD as needed

  • ●  Manage all social media platforms during office hours: Facebook, Instagram, Twitter

  • ●  Prepare and post the weekly email blasts, with guidance from the BOD

  • ●  Maintain mailing lists for various activities

  • ●  Vendor management and relations, to reflect a positive image of the PCA

  • ●  Assist with the management of tenants, and filling vacancies

  • ●  Building maintenance assistance, with guidance from the BOD

  • ●  Bookkeeping assistance and financial matters to include, but not limited to, documenting

    and logging all incoming and outgoing money

  • ●  Track inventory and sales of all PCA merchandise

  • ●  Assist in preparing the PCA Newsletters and promotional materials

  • ●  Assist with events and fundraisers, as directed by the BOD

  • ●  Work flex hours on occasion


Qualifications:

  • ●  Ability to prioritize and multitask

  • ●  Excellent written and verbal communication skills

  • ●  Ability to work independently

  • ●  Ability to follow written and/or verbal instructions with minimal supervision

  • ●  Attention to detail, self-motivation, and strong organizational skills

  • ●  Strong working knowledge of MS Office Suite to include Word, Excel, PowerPoint andOutlook

  • ●  Strong working knowledge of all communication platforms, to include Zoom

  • ●  Strong communication skills, and the ability to work in a professional manner with PCA members, the public, and the BOD

  • ●  Strong customer service skills with positive outlook

  • ●  Familiarity with QuickBooks and CRM/donor database is a bonus

  • ●  Previous experience in office administration or other related fields is preferred

  • ●  Resident of the City of Buffalo and the Parkside Neighborhood is preferred
